For Municipalities & Local Government

Make city information easier to find.
Make the next step clearer.

Residents visit your website to get something done—find a service, read an update, access a document or reach the right department.

SmartRoots creates distinctive municipal websites and digital tools that help residents find their way, while giving your staff better ways to manage information and follow through on requests.

  • Custom Websites
  • Public Information
  • Resident Support

Residents know what they need.
They shouldn’t have to know how City Hall is organized.

Your departments manage different responsibilities. Residents experience them as one city. Your website needs to help people move from a question to the right information or team.

  • Finding services

    “Where do I start?”

Residents may know the service they need without knowing the department, page or terminology used to describe it.

  • Keeping information current

    “Is this the latest information?”

Updates spread across pages and documents can make it harder for residents—and staff—to know what is current.

  • Request ownership

    “Who is handling my request?”

When questions move between inboxes and departments, ownership and follow-up can become unclear.

  • Repeated questions

“Why are we answering this again?”

Information may already exist online, but residents still call or email when they cannot find or understand it.

Clearer information and better-connected support help your team serve residents more consistently.

Talk with us about your city’s priorities and the experience relevant to your project.

A clear plan for your website.
Practical support for your staff.

A municipal website project involves people, content and systems across departments. We start by understanding those responsibilities and agreeing on a manageable scope.

  1. Understand your priorities

Review resident tasks, communication challenges, department needs and the systems your website connects to.

  2. Define the work

Agree on website structure, design, content responsibilities, integrations and the products or services needed.

  3. Prepare content and staff

We help migrate existing website content through a structured process. Your team supplies and approves the content, then receives editing training and page-specific guidance.

  4. Plan for ongoing care

Confirm the support arrangements that fit your selected services and how your team will maintain information after launch.

Optional Website Maintenance

Keep your website supported after launch.

Optional website maintenance includes site and server care, support requests and reporting every two weeks on security, health, performance and accessibility.

Questions your team may be asking.

  • Can you help organize information across departments?

Yes. We work with your team to plan website structure and navigation around resident needs. Your departments provide and approve the information they are responsible for.

  • Do we need a new website to use SmartRoots tools?

Not always. Some needs can be addressed through a product added to your existing website. We review your current setup and confirm the appropriate implementation scope.

  • Can our staff update the website themselves?

Yes. For websites we deliver, staff receive WordPress editing access, detailed training and a help site with page-specific guidance.

  • Can the website connect residents to systems we already use?

We can plan clear paths to existing forms, services and departmental systems. Deeper integrations depend on the platform and its available capabilities, which we assess before committing to scope.

  • How do you support website and document accessibility?

Accessibility is considered during website design, development and testing. Document and third-party requirements are reviewed separately. SmartComply provides HTML readers for PDF content; it does not modify the original PDF or create a remediated PDF.

  • How does SmartDesk help with requests across departments?

SmartDesk accepts requests through email and website forms. Form categories can route requests to departments automatically, while staff can assign or reassign requests. Residents can view status in a portal and receive email notifications.

  • Do you help migrate content and support the site after launch?

Yes. We help move existing website content through a structured process. Your city remains responsible for supplying, reviewing and approving the content; copywriting is not included. Ongoing website maintenance is available as an additional service.

Let’s Talk About Your Community

Where could your city’s digital experience work better?

Perhaps residents struggle to find services. Public information needs clearer organization. Or requests move between departments without a clear next step.

Tell us what your team wants to improve. We’ll help you explore an approach that fits your city’s website, staff and priorities.

  • Discuss your website and public information needs.
  • Explore better ways to answer questions and manage requests.
  • Identify a practical starting point for your team.
